Front Desk/Administrative Assistant

+ Assist all SWS/PWS/AWS DMs: All administrative requests will be run through the respective DM/ADM, not directly by sales rep
+ Daily samples & depot drops check in
+ Daily lifting & moving of case(s) of product / Point Of Sale
+ Daily processing of sample & depot drop paperwork/invoices
+ Combine samples/depot drops and relocate accordingly
+ Assist suppliers with samples
+ Process items for Imaging
+ Coordinate Deliveries (Fed Ex/Fed Ex Imaged Ground/UPS/GSO, etc.)
+ Coordinate Inter-office mail (incoming & outgoing)
+ Retrieve Graton orders from fax ? Scan & e-mail to appropriate parties (Elmo, Chris, Tony, etc.)
+ Upkeep of office equipment and re-stocking as needed
+ Ongoing housekeeping of Branch
+ Various other office duties
+ Assist Drivers as needed
+ Process vacation requests & maintain up to date vacation calendar for RP Branch
+ Product Returns / Pick-ups/ product write ups (lifting required)
+ Research invoices as requested
+ Manage Point of Sale
+ Coordinating meeting rooms
+ All incoming phone calls
+ Coordinate Branch/Supplier meetings
+ Managing company van
+ Make direct bill reservations as necessary
+ Update postings as necessary (from HR & Corporate)
+ Ordering/Re-ordering & stocking office supplies as needed
+ CQDs type-up, back up and reports for certain accounts (when requested and approved by DM)
+ Special pricing/financials for particular accounts (when requested and approved by DM)
+ Bill Backs/Direct Bills
+ Assist vendors as needed
+ Lead slips by Team
Minimum Qualifications:
+ Associate's Degree in Business Administration or related field.
+ Two years experience in related industry.
+ Proficiency with Microsoft Outlook, Excel, Word and PowerPoint.
+ Strong attention to detail.
+ Demonstrated ability to work independently with minimal supervision.
+ Ability to communicate and work well with all levels of the organization, suppliers and customers.
Preferred Qualifications:
+ College degree in business administration or related field.
+ Five years experience in related industry.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
